Media Camera Policy

WEFTEC Camera Policy for Media Representatives:

Media representatives may not photograph, video, or record a WEFTEC exhibitor without written permission from that exhibitor and authorization from the Water Environment Federation (WEF). Media with cameras will not be permitted to enter the exhibition floor without a WEF escort and should make arrangements with WEF communications staff either in advance of the conference or onsite during regular press room hours. Media representatives must receive written permission from the exhibitors they wish to interview, film, and/or photograph and provide this information to WEF in advance of the conference or admittance to the exhibition floor. Media may only film or photograph close-ups of the exhibitors they have received permission from and may only use wide angle shots of the exhibition floor. Continuous live streaming of the exhibition floor for web-based publications is not permitted. Any media representative taking photographs or video of an exhibitor or product without permission must relinquish the film or digital media upon request; the film or digital media will be disposed of one year after being relinquished. Media representatives are solely responsible and liable for insuring adherence to this policy and agree to indemnify and hold WEF, its officers, directors, volunteers, employees, and agents harmless from any and all claims arising from failure to abide by this policy.


Authorization Instructions for Media Representatives:
To obtain authorization, media representatives must submit the completed Authorization Form (PDF) for each exhibiting company they wish to photograph, video, or record to WEF prior to admittance to the WEFTEC exhibition floor. Once approved, the executed form will be returned to the media representative with WEF's authorization. Media representatives are encouraged to bring a copy of all executed forms to WEFTEC as confirmation. WEF will also keep a copy of each executed form on file and will only permit those who have completed this process to enter the exhibition floor with cameras as stated in the policy above. Any violation of this policy will result in the confiscation of unauthorized film/video and immediate expulsion from the exhibition floor.

Note that the authorization form is for media representatives only and incomplete forms will not be processed. Exhibitors interested in bringing cameras on the exhibition floor should contact Jamie Woodside at jwoodside@wef.org.
